Job Title: Records Operations Manager
Department Administrative Services
Salary: $3,913.92 per month maximum

Minimum Requirements:   Associate’s Degree in Business Administration or a related degree AND Three (3) years of experience in management/supervision in a records facility, warehouse, or related area.  Experience in Microsoft Word and Excel also required.  An equivalent combination of education and experience may be substituted.   Any equivalency must include one year of experience.

Duties:

  • Coordinates and supervises the work of the records center staff.
  • Works in conjunction with the records center staff in developing and applying appropriate records retention, retrieval and disposition methods.
  • Maintains efficient services to County departments regarding records receiving, storing, referencing, etc.
  • Directs the identification and placement of records received at the records center, including filing, rearrangement and processing.
  • May perform records clerk duties as needed (e.g., ship records and maintain charge-out system, pack and unpack boxes, transport records between downtown and the records storage area).
  • Performs other duties as directed or requested.

Knowledge, Skills and Abilities:
Knowledge of:

  • Government policies and procedures regarding records retention
  • Principles, practices and techniques of employee supervision
  • Policies and procedures regarding file management

Ability to:

  • Assist in locating information at the records center while assuring that privacy statutes are met
  • Communicate well verbally and in writing
  • Establish and maintain working, courteous relationships with supervisors, co-workers and others within and outside of the County
  • Lift and carry up to 50 lbs.
  • Accurately enter data

Residency:  Must become a resident of Allegheny County within one (1) year of appointment.
